The Senior Project Management Professional will oversee assigned projects and contribute to the growth and development of the OIT PMO within the Planning, Analysis, & Change (PAC) department. The OIT PMO adheres to PMI definitions and practices concerning project management. This role involves managing Scope, Resources, Time, Cost, Risk, Quality, and Communications throughout the entire project lifecycle. Higher education projects often necessitate flexibility regarding changes in scope, resources, or timing. The Senior Project Management Professional position requires an individual with exceptional organizational, communication, interpersonal, negotiation, and problem-solving skills. Practical knowledge of various project management methodologies and an understanding of higher education culture are essential. The successful candidate will demonstrate a willingness to adapt, maintain a positive attitude, possess a strong interest in project management, and be committed to helping CU Denver achieve its strategic goals. This position will report to the Manager of Project Management.

Senior Project Management Professional

Project Management

  • Manage multiple concurrent projects essential to the Office of Information Technology's (OIT) operations and the broader campus mission.

  • Develop comprehensive project schedules, timelines, and resource allocations.

  • Oversee project team members, coordinating efforts to ensure they meet deadlines and achieve project goals.

  • Regularly produce status reports to update on project milestones, identify risks, and address issues or concerns, offering solutions to keep projects on track.

  • Proactively anticipate challenges and devise contingency plans as necessary.

  • Ensure effective communication between project sponsors, stakeholders, team members, service and support personnel, and management through a well-executed communication plan, in collaboration with the OIT Change Manager.

  • Consistently meet the following job expectations:

Project Delivery

  • Set or revise initial project schedules using the most accurate data available-including team task estimates, project prioritization, scope, and resource availability-and actively manage these schedules throughout the project's life cycle.

  • Conduct regular risk assessments to identify potential project obstacles early and develop mitigation strategies to prevent disruptions and ensure project success.

  • Quickly set new realistic deadlines in response to unforeseen events that disrupt existing schedules.

  • Regularly update projected release, deployment, or implementation dates, utilizing the latest progress reports and the best available resource and task estimates.

  • Ensure project requirements are precisely outlined and documented, with any modifications subject to a thorough change management process before implementation.

  • Involve service, support, and operations teams early in the project to ensure a seamless transition post-implementation.

  • Foster a collaborative environment by encouraging open communication, regular feedback, and joint problem-solving sessions among project team members and stakeholders.

Project Lifecycle

  • Ensure that every project managed includes key documentation such as a Project Charter, Roles and Responsibilities Matrix, Project Schedule, and any other documentation required by the OIT Standard Project Roadmap.

  • Regularly review and update all project documents to reflect current project status and adjustments, ensuring all stakeholders have access to the latest information.

Project Reporting

  • Offer timely and accurate updates on project status to OIT and other project stakeholders.

  • Provide weekly updates on project status in MS Project Server Online.

  • Maintain an up-to-date repository of all project documentation accessible to team members and stakeholders to ensure transparency and continuity.

  • Participate in the weekly OIT PMO Project Status Meetings.

  • Generate detailed Weekly Status Reports for any project marked with a red status, outlining corrective actions to realign the project.

  • Utilize real-time dashboards to visually represent project progress, facilitating immediate insight and decision-making for all stakeholders.

  • Prepare additional reports and documents as dictated by specific project requirements.

Issue and Risk Management

  • Proactively identify, monitor, and mitigate project risks.

  • Conduct regular review meetings with project teams to discuss the status of risks and issues, ensuring ongoing vigilance and proactive management.

  • Clearly define, manage, and swiftly escalate project issues and roadblocks to OIT Management.

  • Record all issues and risks in MS Project Server Online and incorporate them into the weekly status reports.

  • Develop a risk mitigation plan that includes preventive measures and contingency actions to handle potential problems effectively.

Business Analysis and Organizational Change Management
  • Collaborate with assigned Business Analysts and the Organizational Change Manager to assess the level of effort needed from each discipline involved in the project and create a realistic schedule that outlines the tasks and their timelines.

Project Management Software

  • Use MS Project to develop and manage project schedules and resource allocations.

  • Upload and maintain projects on MS Project Server Online.

  • Create and oversee project sites within Project Server Online.

  • Leverage the enterprise resource pool for project assignments when suitable.

  • Generate and submit weekly status reports through MS Project Server Online.

  • Store and archive project documentation on the project server during project closure.

  • Employ MS Teams for project communications and collaborative efforts.

  • Implement feedback mechanisms through MS Teams to encourage real-time input and engagement from project stakeholders.

  • Use MS Planner for managing and tracking tasks.

  • Integrate other approved software applications as required for project needs.

  • Designate a dedicated digital workspace in MS Teams to centralize discussions, files, and updates, enhancing team synergy and information sharing.

Planning and Analysis PMO Departmental Development

  • Work closely with the PMO manager to continuously improve and refine PMO processes and procedures. Participate in weekly team meetings as necessary.

  • Offer guidance and mentorship to new and existing team members on best practices in project management.

  • Partake in internal training sessions to further professional development.

Qualifications you already possess (Minimum Qualifications)

  • Bachelor's degree from an accredited institution in a relevant field, or an equivalent combination of education and relevant experience, substitutable on a year-for-year basis.

  • 2 years of project management experience, which includes

    • Proven experience managing projects from start to finish, including task scheduling, resource management, risk identification, and progress tracking.

    • Skilled in handling multiple projects simultaneously and adhering to formal project management methodologies.

    • Experience with digital transformation and technology integration.

    • Strong analytical skills for data-driven decision-making and improvements.

    • Ability to lead cross-functional teams effectively in a dynamic environment.

  • Holds a professional project management certification (PMP or PMI-ACP)

Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelor's degree on a year for year basis.

Preferred Qualification to possess (Preferred Qualifications)

  • Hold a professional project management certification, such as CSM (Certified ScrumMaster) or PSM (Professional Scrum Master).

  • Proficient in using Microsoft Project Server or Microsoft Project Server Online.

  • Experienced in managing IT projects and familiar with IT processes.

  • Demonstrated risk management experience with a proven ability to identify, analyze, and mitigate project risks effectively.

  • Proven stakeholder engagement skills with a track record of successfully managing stakeholder relations and communicating complex project information to diverse audiences.

Knowledge, Skills, and Abilities

  • Deep understanding of project management methodologies and best practices, including the development of project charters, schedules, constraints, risks, resources, and stakeholder responsibilities.

  • Meticulous in managing every detail of a project, understanding the potential impact on overall success.

  • Skilled in managing large-scale projects using Microsoft Project/Project Server Online.

  • Effective in assisting project sponsors in the development of project charters to ensure a clear understanding of scope, resources, objectives, risks, and success criteria.

  • Capable of creating and maintaining precise documentation for projects, including scope documents, estimates, change orders, revision notices, review phases, and client approvals.

  • Diligent in monitoring and reporting project progress to all stakeholders, covering deliverables, staffing, schedules, budgets, risks, and change requests.

  • Experienced in leading project meetings with prepared agendas, and proficient in tracking decisions, issues, and action items.

  • Proficient with Microsoft Office tools.

  • Experienced in using Microsoft SharePoint.

  • Proficient in using Microsoft Project.

  • Strong in English written and verbal communication skills.

  • Possesses strong interpersonal skills, tactfulness, a customer-service ethic, and follow-through.

  • Ability to work collaboratively in a team environment with ongoing collaboration among team members.

  • Able to manage multiple projects simultaneously.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $ $86,112 - $89,100.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
