A. POSITION PURPOSE

The Senior Project Manager, Information Services, is responsible for overseeing and managing complex IT related projects from inception through completion. Using expertise in all IT functional areas, this role involves planning, executing, and finalizing projects according to strict deadlines and within budget, while ensuring that business objectives are met, and that customer satisfaction is achieved. This position provides project management leadership by establishing project management/governance standards, processes, and policies for the Information Services Division. This position will work closely with the entire Information Services division including the CIO, Deputy CIO for Academic Technology, Director of Cyberinfrastructure Technologies, Director of Enterprise Applications, Chief Information Security Officer and Director of Finance and Administration, IS.

B. ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Project Planning and Scope Definition
    • Collaborate with stakeholders to define project scope, objectives, and deliverables.
    • Utilize project management software, create detailed project plans, including tasks, timelines, resource allocation, project milestones and deliverables.
    • Create logs to track all project risks, action items, issues and decisions.
  • Team Leadership
    • Using expertise in all IT functional areas, lead cross-functional project teams, fostering collaboration and ensuring effective communication.
    • Provide guidance, mentorship, and performance feedback to project team members.
    • Facilitate project team meetings, status updates, and stakeholder communications.
    • Delegate tasks, set priorities, and ensure collaboration.
  • Stakeholder Management
    • Act as the primary point of contact for project stakeholders, including senior management, clients, and vendors.
    • Manage stakeholder expectations, addressing concerns and providing regular project updates.
    • Ensure that project deliverables meet or exceed stakeholder requirements.
  • Risk Management
    • Identify potential project risks and develop mitigation strategies using expertise in all IT functional areas .
    • Conduct regular risk assessments and implement corrective actions as needed.
    • Maintain a risk register and ensure timely reporting of risk status to stakeholders.
    • Embrace a "Security by Design" mindset; Ensure data and cybersecurity issues are considered throughout the project lifecycle.
  • Quality Assurance
    • Establish and enforce project quality standards and best practices.
    • Conduct regular quality reviews and audits to ensure compliance with project specifications.
    • Implement continuous improvement initiatives to enhance project outcomes.
    • Monitor project progress and performance, making adjustments as necessary to ensure successful completion.
  • Budget and Resource Management
    • Collaborate with stakeholders to effectively allocate resources, both human and technical.
    • Monitor resource utilization and adjust as needed.
    • Develop and manage project budgets, ensuring financial objectives are met.
    • Approve and track project expenditures and variance
  • Communication and Reporting
    • Regularly update stakeholders on project progress.
    • Prepare status reports, presentations, and documentation.
  • Change Management
    • Ensure buy-in from relevant stakeholders on project impact.
    • Handle requests for scope changes and assess their impact.
    • Communicate changes to the team and stakeholders.
  • Project Closure and Evaluation
    • Ensure successful project completion.
    • Conduct post-project evaluations and identify areas for improvement.


C. PROVIDES WORK DIRECTION
  • In collaboration with IS Leadership, assigns tasks and deliverables to staff in other Information Services units as needed for project success. Dotted line relationship with embedded project managers in the four IS units - Academic Technology, Cyberinfrastructure Technologies, Enterprise Applications and Information Security Office.

  • Advanced knowledge of information technology in a higher education setting, including networking, server and data center maintenance, ERP and application support, website development, cybersecurity, classroom technology needs, training, help desk and deskside support, etc.

Position-specific

Education
  • Bachelor's degree or higher in Information Technology, Computer Science, Business Administration, or a related field.
  • PMP, PRINCE2, or other relevant project management certification strongly preferred.

Experience
  • Minimum of 12-15 years of relevant experience in project management or IT projects providing excellent customer service to support technology in support of an organization's mission.
  • Proven track record of managing multiple large-scale IT projects, sometimes simultaneous, with successful outcomes.
  • Experience with Agile, Scrum, Waterfall, CPM, Lean or other project management methodologies.
