Brief Summary of Job Duties:


The Assistant Athletic Director - Events, Facilities and Projects reports to the Associate Athletic Director - Events, Facilities and Projects and has overall responsibility for programming of all athletics events, sound game management planning and execution for 20 Division I intercollegiate athletics programs, facilities planning and management at all athletics related facilities. Responsibility for strategic planning and design of programs that achieve campus, division and department goals and objectives. The Assistant Athletic Director is responsible for contributing to long-range planning, decision-making and policy and procedure formulation and management, both related to primary program areas as well as objectives needed to reach department, division and campus goals. This position serves as a primary liaison to several campus committees and units. Successful performance of these duties requires highly developed communication and organization skills, demonstrated capacity for leadership, ability to understand, interpret and communicate policy, work with diverse people, work under pressure and independently meet deadlines and oversee complex budgets. Broad knowledge of NCAA and event related protocol is necessary, with interaction and stewarding positive communication with parents, alumni, donors, students, campus and community members. Must be able to work independently, act with sound judgment and high degree of confidentiality, anticipate job requirements, prioritize and coordinate multiple complex tasks. Must possess proficient knowledge of MS Office and have a demonstrated ability to quickly learn and manage various software programs integration into complex campus data programs.

Qualifications:

  • Bachelor's degree in related area and / or equivalent experience / training
  • Strong verbal and written communication skills
  • Considerable initiative, independence, good judgment, and problem-solving abilities
  • Must be knowledgeable of and comply with NCAA, Big West conference and University rules, policies and regulations applicable to the performance of this position.

Job Functions and Percentages of Time:
  • 70% Event & Programs Management - Responsible for the overall management and implementation of Event Management and Protocol that include major athletics events for 20 NCAA Division I programs as well as external events intended to provide high quality athletic events and foster philanthropy and campus and community engagement. Ensures that all activities within each program contribute to the achievement of campus, department and division priorities and initiatives. Ensures that all program activities are implemented according to all applicable policies, procedures and regulations. Designs programs , analyzes program results and recommends and implements modified or new programs as necessary. Establishes an annual budget for events, supports rate and recharge processes and oversees expenditures for events to reconcile with the original plan and objectives. Consults with the Associate Director on overall and specific program budgets and programmatic results, including recommending and implementing budget cuts or requests for funding augmentation. Supports development and maintenance of policies and procedures related to all Athletics events operation and facilities use. As a member of the Event Management team, is involved in the long-range planning, decision-making and policy and procedure formulation and management to achieve both program-specific goals and objectives, and to insure that events help achieve overall department, division and campus goals and objectives. Works closely with central campus Development Office, UCPD, Transportation and Parking Services, DCSS, Campus leadership and other campus units to ensure that programs compliment the goals and objectives of the campus, the division and the department. *Manages intercollegiate and external events as the on-site athletics representative to troubleshoot any issues, oversee student staff, manage vendors/services, provide crowd control as well as customer service to external constituents. *Directs game day and building staff in the management of event activities and daily operations. Serves as the main point of contact to coaches and staff for game day and building operations. *Partners with the Procurements, EH&S Risk Management, Athletics Department Business Operations and other campus departments to ensure processing of game contracts, facility rentals and use agreements, department purchase invoices, per university policy and standards. *Under direction of Associate AD / Events and Facilities; Facilities serves as the primary event manager for designated ICA related home events. *At designated home events, ensures compliance with all applicable NCAA / University policies. *Acts as direct liaison with NCAA game officials *Coordinates with ICA staff (communications, athletics training, security, ticketing, development) to ensure appropriate staffing levels and needs are in place for each event. *Responsible for setup of all game equipment at each venue including but not limited to: instant replay, scoreboard controllers, shot clocks, public address systems etc. *Communicates with designated sports game officials two weeks prior to home event (as soon as possible once assignments are set) *Coordinates parking for visiting teams / officials.
  • 30% Administrative Supervision - Serve as the departmental representative on assigned campus committees and liaison to external partners. *May manages the payroll, hiring and scheduling function for student employees, and temporary employees according to university guidelines. *Supports rate and recharge process, managing of contracts related to events and facilities, policies and procedures manuals, and facilities maintenance/renovation plans. *Schedules ICA building and spaces including opening and closing. *Schedules and manages ICA vehicles/carts and maintenance coordination. *Participates in department staff meetings, various on campus and partner meetings, and supports ongoing analysis. May be required to perform additional duties as assigned. *Regular walk through of designated facilities. *Troubleshoots all game related and facility equipment (inclusive of but not exclusive to videoboards, rims, nets, public address systems, lighting) *Special requests as assigned.
